Also responsible for filling in for call offs at various Cuyahoga County locations as needed

VGS is a highly acclaimed, successful, private, not-for-profit 501(c)(3) vocational rehabilitation agency with over 130 years of dedicated experience serving persons with disabilities or other barriers to employment. We are growing and are adding a Caseload Assistant who will be responsible for assisting with administrative tasks for our group employment and vocational habilitation programs at the VGS E. 55th location and various employer sites throughout Cuyahoga County and neighboring counties. Specific job responsibilities include:


Assist supervisor(s) with administrative tasks including compiling reports, process billings, monitor and submit hours for Rehabilitation Specialists and program participant payroll.
Maintain case files to meet agency accreditation and referring agency standards and help to maintain up to date and current data in VGS' online case management database.
Help to ensure all Rehabilitation Specialist documentation is submitted in a timely fashion (weekly) and that they are professionally written and provide useful and insightful information before being attached to monthly billing reports.
Assist supervisor(s) in providing referring/funding counselors with monthly written reports and additional correspondence, as required, regarding program participant activities.
Work with supervisor(s) with scheduling and conducting intake meetings with new program participants.
Work with supervisor(s) and staff to develop community based worksites that align with program participant's vocation goals, interests, aptitudes, skills and limitations for community outings and potential community based worksites.
Assists with scheduling appointments, arranging staffing and coordinating meetings with program participants and others including VGS staff, referring counselors/funding counselors, community support organizations, and/or employers.
Utilize a team approach to planning, developing, implementing, and monitoring department activities for program participants.

Qualifications


Associate's degree from four-year college or university; and one year related experience and/or training; or equivalent combination of education and experience.
Must maintain Medicaid compliance including a clean BCI and FBI check and required trainings upon hire.
Must submit to a post offer drug test.
Must have reliable transportation to travel amongst sites when needed to cover due to staff absence.
Demonstrated interpersonal and communication skills (verbal and written).
Basic knowledge of computer operations and Microsoft software including Word, Excel, Access, Outlook and Teams.
