Credence Management Solutions, LLC, is hiring an (FOG) Administrative Assistant who will be primarily responsible for supporting AFLCMC/OZJ at WPAFB, OH.
Responsibilities include, but are not limited to the duties listed below
Provide assistance with administrative and management support including but not limited to assisting the XP-OZ office in analyzing problems, identification of alternative solutions, providing recommendations, writing reports, and accomplishing specifically assigned work.
Assist with administrative tasks as necessary to support management operations functions. These tasks shall include: answering phones; scheduling telecoms and VTCs; preparing organizational charts; entering data; integrating information into required reports; generating and maintaining training requirements, files, forms and established file plans; processing mail (receiving, signing for, and distributing mail, both classified and unclassified, and accessing, storing, and handling classified material); processing travel orders using the Defense Travel System (DTS); preparing correspondence (both classified and unclassified) and managing and operating fax equipment.
Assist to monitor and manage the organization awards program IAW USAF polices. (Award cycles may be quarterly, annually or on an ad hoc basis).
Provide support to monitor and publish due dates, award selection criteria and nomination package format for each award; track nominations; coordinate results of selection panel; and assist in obtaining and presenting the awards.
Perform work-flow management functions as needed to ensure timely Directorate response to external and internal suspense/s and tasking/s. Necessary work-flow management functions shall include: receiving suspense/tasking notices and details from several sources; analyzing suspense/s and taskers for execution assignment; assigning the proper action organizations, action officers and suspense dates; tracking, consolidating and coordinating responses into a single PEO or directorate-level response; senior functional or PEO approval as needed; formally responding to the tasking organization and closing out the suspense or tasking, and; archiving completed actions to enable retrieval from archival storage and electronic records management (ERM) systems.
Manage coordination and suspense control activities for inquiries from higher headquarters and directorate staff, and prepare responses for XP-OZ Director and/or Deputy approval and provide recommendations when appropriate.
Collaborate with directorates and assist in managing tasks from the AFMC SOCCER database, or successor system such as the Task Management Tool (TMT).
Provide support to develop internal and external briefings and reports.
Provide support in filing and retrieving graphics materials to facilitate research and expedite creation of briefings and reports; compiling and preparing briefings and reports in both electronic and hard copy to use for special and/or recurring reports, and providing assistance during briefings.
Assist with maintaining databases and producing spreadsheets, graphics and other specialized products, and facilitating the use of standardized automated forms, performance reports, materials procurement, maintenance and disposition, as well as other periodic or ad hoc reports.
Support the planning, formulation, editing, development, coordination and publication of finished products, e.g., program documentation, plans, directives, reports, briefings and other presentations, as required (technical and non-technical; classified and unclassified) in the media and format requested, ensuring compliance with DoD policies and the current revision of the Tongue and Quill (Air Force Handbook 33-337).
Support the establishment and maintenance of master files and file plans of program data (both classified and unclassified) to facilitate tracking and resolution of issues associated with operations.
Assist as a POC for records filing and maintenance.
Assist to serve as the focal point to consolidate, assemble, and visually display materials for staff meetings, prepare a weekly agenda, schedule special topics, prepare copies for attendees, and set up and operate conference room equipment.
Provide support to retrieve data or information in the form of queries and reports, maintenance of tracking systems for identification of deficiencies and corrective actions/closure, and in preparation of documentation for Government review and approval.
Education, Requirements and Qualifications
Clearance: Secret or ability to obtain a Secret
BA/BS and three (3) years of relevant experience
Seven (7) years of relevant experience
Expert knowledge and capability to use personal computers to produce visual aids, slides, view graphs, briefing charts and other graphics using standard USAF software applications
